About this workflow

Dialpad to Syncro Integration Workflow Analysis

This N8n workflow template, titled "Dialpad to Syncro", is designed to automate the integration between Dialpad (a cloud-based business phone system) and Syncro (an IT service management platform for MSPs). It enables businesses to automatically create or update support tickets in Syncro when an inbound phone call is received via Dialpad, based on caller identification. The workflow intelligently matches customers or contacts using their phone number and logs relevant data into Google Sheets for tracking and reporting.

What the Workflow Does

The primary function of this workflow is to:

  • Listen for incoming webhook events from Dialpad (triggered by inbound calls)
  • Identify the calling party by searching Syncro’s database using the caller's phone number
  • Determine whether the caller is a known Contact or Customer
  • Check if there is already an open ticket associated with the contact
  • Either create a new ticket or add a comment to an existing ticket
  • Log the call and corresponding ticket information into Google Sheets for audit and analytics purposes

This automation streamlines customer service operations by ensuring that every inbound call initiates a traceable service record, reducing manual entry and improving response times.

Key Features and Capabilities

  1. Webhook Triggered Execution

    • Listens for real-time POST requests from Dialpad, making it event-driven and responsive.
  2. Dynamic Customer/Contact Matching

    • Uses the caller’s phone number (cleaned of formatting like +, leading 1, or 0) to search Syncro’s API.
    • Handles both individual contacts and company-level customers.
  3. Conditional Logic Branching

    • Employs multiple IF nodes to make decisions based on:
      • Call direction (inbound)
      • Search results length (whether 1 match exists)
      • Presence of open tickets
  4. Ticket Management Automation

    • Creates new tickets if no open ones exist
    • Updates existing open tickets with call details instead of creating duplicates
  5. Data Enrichment & Transformation

    • Extracts structured data from raw API responses using Function nodes
    • Formats dynamic messages with full names, phone numbers, and business names
  6. External Logging via Google Sheets

    • Records each action (ticket creation/update) in Google Sheets with:
      • Call ID
      • Ticket ID
    • Useful for auditing, billing, or performance tracking
  7. Environment Configuration

    • Centralizes configuration (like base URL and user ID) using an EnvVariables Set node for easier maintenance.
  8. Error Resilience & Fallback Paths

    • Includes NoOp (No Operation) nodes as fallback paths to prevent execution halting due to missing data.

Main Nodes and Their Purposes

Node Name Type Purpose
Webhook Webhook Trigger Receives POST payload from Dialpad when an inbound call occurs
IF (Direction Check) IF Condition Ensures only inbound calls proceed; ignores outbound/internal
EnvVariables Set Node Stores environment constants like Syncro base URL and default user ID
GetCustomer HTTP Request Queries Syncro’s search API using cleaned caller number
Contacts Function Node Parses API response to extract contact records
Customers Function Node Parses API response to extract customer (company) records
IFContacts / IFCustomers IF Conditions Checks if exactly one contact or customer was found
GetTicket HTTP Request Searches for open tickets linked to the identified contact
IFMoreThanOne IF Condition Determines if an open ticket exists (length > 0), then decides to update or create
UpdateTicket HTTP Request Adds a hidden comment to an existing ticket noting the call
CreateTicket / CreateTicketForCustomer HTTP Request Creates a new ticket under a contact or customer
Set Nodes (ForGoogle)* Set Node Prepares structured data (Call ID + Ticket ID) for logging
**Google Sheets * ** Google Sheets Node Appends log entries to a spreadsheet for tracking
**NoOp * ** No Operation Node Acts as dummy output to handle cases where no action is taken

Use Cases and Benefits

✅ Use Cases

  • MSPs (Managed Service Providers): Automatically track client interactions without agents needing to manually create tickets after every call.
  • Help Desks: Improve first-response efficiency by pre-populating context about the caller before they even speak.
  • Sales & Support Teams: Maintain detailed logs of all inbound communications tied directly to CRM-like records in Syncro.
  • Compliance & Auditing: Keep immutable logs in Google Sheets linking calls to service activities.

✅ Benefits

  • Reduces Manual Work: Eliminates need to manually look up clients and open tickets.
  • Prevents Duplicate Tickets: Smart logic avoids cluttering the system.
  • Improves Accountability: Every call leaves a digital footprint.
  • Enhances Contextual Awareness: Agents can see recent activity before answering or returning calls.
  • Scalable & Configurable: Can be extended to include SMS, voicemail, or email integrations.

Step-by-Step Workflow Logic

  1. Trigger: Inbound Call Detected

    • Dialpad sends a POST request to the /moezdialpad webhook endpoint.
    • Payload includes caller number (external_number), call ID, and direction.
  2. Filter: Only Process Inbound Calls

    • The first IF node checks if direction === 'inbound'.
    • If false, routes to NoOp2 (does nothing).
    • If true, proceeds to next step.
  3. Load Environment Variables

    • EnvVariables node injects:
      • syncro_baseurl: Base URL for Syncro API
      • Other static values used later (e.g., user ID)
  4. Search Syncro for Caller

    • GetCustomer makes an HTTP GET request to:
      {{syncro_baseurl}}/api/v1/search?query={cleaned_phone}

    • Phone number is cleaned using .replace() to remove +, leading 1, or 0.
  5. Parse Results into Contacts and Customers

    • Two parallel Function nodes (Contacts and Customers) parse the search result JSON:
      • Filter entries where _index === 'contacts' or 'customers'
      • Extract key fields: name, ID, customer_id, phones
    • Outputs arrays of matched contacts/customers
  6. Check for Exactly One Match

    • IFContacts: If exactly one contact found → proceed to check tickets
    • IFCustomers: If exactly one customer found → proceed to create customer-level ticket
    • Otherwise, route to NoOp/NoOp1 (no action taken)
  7. Check for Open Tickets (Per Contact)

    • If a contact is found, GetTicket queries:
      /api/v1/tickets?contact_id=X&status=Not%20Closed

    • Returns list of open tickets for that contact
  8. Decide: Update or Create Ticket?

    • IFMoreThanOne evaluates:
      • Is there at least one open ticket?
    • If YES → go to UpdateTicket
    • If NO → go to CreateTicket
  9. Update Existing Ticket

    • UpdateTicket posts a comment to the first open ticket:
      • Subject: "Phone call from John Doe (+1234567890)"
      • Body: "John Doe called."
      • Hidden: true (internal note)
      • Assigned to default user
    • Then prepares and logs data via ForGoogle → Google Sheets
  10. Create New Ticket

    • If no open ticket:
      • CreateTicket creates a new one with:
        • Customer ID and Contact ID from matched contact
        • Dynamic subject line
        • Status: "In Progress"
        • Assigned to default user
    • Then logs via ForGoogle1 → Google Sheets1
  11. Handle Customer-Level Fallback

    • If no contact but a customer is found:
      • CreateTicketForCustomer creates a ticket at the organization level
      • Includes business name in subject
      • Logs via ForGoogle2 → Google Sheets2
  12. Logging to Google Sheets

    • All successful actions (update/create) result in appending a row:
      • Column A: Call ID
      • Column B: Ticket ID
    • Three separate branches ensure all paths are logged appropriately

Summary

This Dialpad to Syncro workflow exemplifies how n8n can bridge communication platforms with service management systems through intelligent automation. By combining webhooks, conditional logic, API integrations, and external logging, it delivers a robust solution for enhancing customer service workflows—ensuring no call goes unrecorded and every interaction contributes to better support outcomes.
