About this workflow

Get Product Feedback Workflow Analysis

This N8n workflow template titled "Get Product Feedback" is designed to automate the collection, processing, and routing of customer feedback gathered via a Typeform survey. It integrates multiple platforms—Typeform, Airtable, Trello, and internal logic nodes—to streamline feedback management, enabling teams to capture insights efficiently and take action based on user sentiment.

What the Workflow Does

The workflow listens for new responses submitted through a Typeform survey, extracts key information such as user name, email, satisfaction score, and comments, stores this data in an Airtable base for record-keeping, and conditionally creates a card in Trello if the user’s satisfaction score is 7 or higher. Lower scores do not trigger Trello integration (though they are still logged), allowing teams to prioritize high-value feedback or follow up separately on negative responses.

Key Features and Capabilities

  • Automated Triggering: Listens in real-time for new form submissions using a webhook from Typeform.
  • Dynamic Data Mapping: Uses expressions to extract and rename form fields into structured variables.
  • Conditional Logic: Implements decision-making with an IF node to route workflows differently based on numeric input (satisfaction score).
  • Multi-Platform Integration: Seamlessly connects Typeform (data collection), Airtable (data storage), and Trello (task creation).
  • Data Enrichment & Cleanup: The Set node reformats incoming JSON data for consistency and clarity before further use.
  • Scalable Design: Easily adaptable for different forms, scoring thresholds, or follow-up actions.

Main Nodes and Their Purposes

  1. Typeform Trigger

    • Purpose: Acts as the starting point of the workflow by triggering whenever a new response is submitted on a specified Typeform.
    • Details: Uses stored API credentials (typeform-harshil) and listens via a unique webhook ID. Currently, no specific formId is set, which would need to be configured before activation.
  2. Set

    • Purpose: Transforms raw form data into a cleaner, standardized format by extracting relevant fields and assigning them meaningful names.
    • Mapped Fields:
      • Score: Extracted from "What score would you like to give?"
      • Name: From "What is your name?"
      • Email: From "What is your email address?"
      • Description: From "Anything else you want to share?"
    • Feature Note: With "keepOnlySet": true, only these defined fields are passed forward, removing any extraneous data.
  3. Airtable

    • Purpose: Stores the processed feedback permanently in an Airtable table named Feedback.
    • Operation: Appends a new record each time.
    • Authentication: Uses saved credentials (airtable-harshil). Requires configuration of the correct Airtable base (application) and table link.
  4. IF

    • Purpose: Evaluates whether the customer's Score is greater than or equal to 7.
    • Condition: Compares ={{$node["Set"].json["Score"]}} >= 7
    • Routing:
      • If true, proceeds to the Trello node.
      • If false, goes to the NoOp node (essentially ending that path).
  5. Trello

    • Purpose: Creates a new card in a predefined Trello list for high-scoring feedback.
    • Card Title: Formatted as [Score] Name, e.g., [9] John Doe.
    • Description: Includes full details — Name, Email, Score, and Description — for context.
    • Target List: Hardcoded to list ID 5fbb9e2eb1d5cc0a8a7ab8ac.
    • Authentication: Uses Trello Credentials stored under trelloApi.
  6. NoOp (No Operation)

    • Purpose: Serves as a placeholder to handle cases where the score is below 7.
    • Functionality: Performs no action — useful for debugging or future extension (e.g., adding Slack alerts for low scores).

Use Cases and Benefits

Ideal For:

  • Product teams collecting Net Promoter Score (NPS)-style feedback.
  • Customer support or success teams monitoring user satisfaction.
  • Startups or SaaS companies aiming to act quickly on positive testimonials or feature suggestions.

Benefits:

  • Efficiency: Automates manual data entry and triaging tasks.
  • Actionable Insights: High scorers can be flagged for outreach, case studies, or referrals.
  • Centralized Records: All feedback is archived in Airtable for analysis and reporting.
  • Customizable Routing: Can be extended to send emails, create tasks, or notify team members based on score ranges.

Step-by-Step Workflow Logic

  1. Trigger: New Typeform Submission

    • A user submits feedback via a Typeform survey.
    • The Typeform Trigger node receives the payload via webhook.
  2. Transform: Normalize Feedback Data

    • The Set node parses the response JSON and maps answers to clean properties:
      {
        "Score": 9,
        "Name": "Alice Chen",
        "Email": "[email protected]",
        "Description": "Great product! Added dark mode please."
      }

  3. Store: Save to Airtable

    • The Airtable node appends this object as a new row in the "Feedback" table.
    • Ensures long-term retention and accessibility for analytics.
  4. Evaluate: Score Check with IF Node

    • The IF node checks if Score >= 7.
    • If TRUE → Route to Trello.
    • If FALSE → Route to NoOp (no further action).
  5. Act: Create Trello Card (for High Scores)

    • The Trello node creates a card titled [9] Alice Chen in the designated list.
    • The description includes all four fields for full context.
    • Team members can now review, comment, or assign follow-ups directly in Trello.
  6. End Path

    • Positive feedback ends in Trello.
    • Negative or neutral feedback (score < 7) ends silently at NoOp — though this could be enhanced later (e.g., route to Slack or CRM).

Summary

This workflow exemplifies how n8n enables powerful, low-code automation across popular SaaS tools. By capturing feedback, storing it reliably, and conditionally escalating it for action, teams can maintain agility and responsiveness without manual overhead. While currently focused on celebrating positive experiences, it lays a solid foundation that can easily be expanded to include multi-tiered scoring, notifications, or integrations with email or CRM systems.

How to use: download the JSON, then in n8n choose “Import from File”.
